Position Summary:

As an Assistant Vendor Manager, you will be responsible for overseeing vendor management, vendor performance management, stakeholder communication, analytics and data management, optics facilitation, cultural ambassadorship, resource optimization, risk management, onboarding and evaluating new vendors, documentation and reporting, and continuous improvement in the context of Vendor Planning and Management. This role plays a vital part in ensuring efficient project delivery, and resource allocation, and fostering a culture of high performance within the organization.

Responsibilities:

  • Assist in managing relationships with all operational vendors to ensure they can ramp up or ramp down their resources according to project requirements.
  • Collaborate with the Vendor Managers and vendors to negotiate contracts, pricing, and service level agreements (SLAs).
  • Assign and monitor daily tasks to maintain productivity and avoid idle hours.
  • Monitor vendor performance against KPIs and implement corrective actions for improvement.
  • Assist in devising vendors strategy according to evolving business needs.
  • Provide guidance to vendors on team composition based on project requirements.
  • Liaise with stakeholders to align and manage project delivery expectations with vendors, clients, and internal teams.
  • Enforce communication and project protocols with vendors and internal teams.
  • Collect, analyze, and leverage data to support resource allocation, project planning, and vendor management decisions.
  • Create and maintain dashboards and reports to ensure transparency and visibility into vendor performance and resource utilization.
  • Foster a high-performance culture by leading by example and encouraging continuous improvement.
  • Assist in optimizing resource allocation and streamline processes for efficiency and cost-effectiveness.
  • Assist in identifying and mitigate risks related to vendor planning and project delivery, developing contingency plans as needed.
  • Maintain accurate records of resource allocation, vendor contracts, and project timelines.
  • Assist in onboarding, evaluating new vendors, running pilots and creating back up vendors databases.
  • Stay informed on industry best practices and emerging tools to enhance vendor and resource management.

Preferred Skills & Experience:

  • Proficiency in data analysis tools like Excel and familiarity with visualization platforms such as Tableau or Power BI.
  • Strong analytical and problem-solving skills, with experience in data-driven decision-making.
  • Excellent communication, negotiation skills, both written and verbal, for diverse audiences.
  • Ability to work collaboratively with cross-functional and remote teams.
  • Attention to detail with a commitment to data accuracy and integrity.
  • Flexibility to manage multiple stakeholders across different time zones.

Qualification:
A bachelor's level qualification in engineering, preferably Mechatronics or mechanical engineering, is required. A master's degree or relevant certification (e.g., PMP) is a plus.

Experience:

Minimum of 2+ years of experience in project management, or related roles.
