About Us:
Here at Ambience, we never set out to be just another scribe. We’re building the AI intelligence platform that restores humanity to healthcare and drives meaningful ROI for health systems across the country.
Our technology helps providers focus on delivering great care by removing the administrative burden that pulls them away from patients and away from their most impactful work. Ambience delivers real-time coding-aware documentation and clinical workflow support across ambulatory, emergency and inpatient settings at the top health systems in North America.
Our teams operate relentlessly with extreme ownership to build the best solutions for our health system partners. We value candor, positivity and deep thought — and we expect a lot from each other because we know the problems we’re solving truly matter.
Ambience was ranked #1 for Improving the Clinician Experience in the KLAS Research Emerging Solutions Top 20 Report, recognized by Fast Company as one of the Next Big Things in Tech, named one of the best AI companies in healthcare by Inc., and selected as a LinkedIn Top Startup in 2024 and 2025. We’re backed by Oak HC/FT, Andreessen Horowitz (a16z), OpenAI Startup Fund, and Kleiner Perkins — and we’re just getting started.
The Role
We're looking for an Executive Assistant to support our Chief Revenue Officer (CRO) and also go-to-market leadership.
This role is the operational backbone of the GTM org. You'll own calendar and meeting operations, travel and events logistics, information synthesis, and communications flow. You'll work day-to-day with the CRO's Chief of Staff and collaborate across a wide set of GTM and company stakeholders.
The baseline expectation is that you nail the fundamentals: calendar management, travel coordination, responsiveness, and follow-through. Beyond that, there's real room to grow. The CRO's values proactivity and independent thinking – if you see something that could work better, you're expected to scope a solution and bring it forward. Over time, you'll take on coordination work across the GTM team, including meeting prep and follow-up, light project tracking, Notion workspace management, and material formatting.
What You'll Own
Calendar & scheduling – End-to-end calendar management with real judgment. You're not just booking meetings; you're de-conflicting, prioritizing, and making calls about what moves and what stays based on business context. Mornings often bring same-day shifts, so you need to be online and ready before the day's meetings start.
Travel & events coordination – Own logistics for conferences, client meetings, and travel. Build tight itineraries, anticipate what the CRO will need before he asks, and handle last-minute changes (including after-hours) with speed and composure.
Information synthesis & meeting prep – Pre-read Slack threads, Granola meeting notes, and HubSpot data to surface what matters before meetings happen. Flag open decisions, owner gaps, and follow-ups that didn't get captured. Draft weekly briefings so leadership can get up to speed without context-switching.
Communications flow – Triage inbound messages with speed and judgment. Route things to the right person. Draft communications in the CRO's voice when needed. The goal is that nothing urgent sits unaddressed and nothing important gets lost.
GTM meeting support – Partner with the Chief of Staff on agendas, pre-meeting input, and post-meeting follow-up for leadership team meetings and all-hands. Maintain continuity so recurring meetings don't start from scratch every time.
Material creation & formatting – QA decks and documents before they reach leadership. Clean up AI-generated outputs to match templates. Light proofreading and formatting. Build basic trackers and spreadsheets as needs arise.
Notion workspace development – Help refresh and organize the commercial team's Notion workspaces. Build clean landing pages for initiatives, keep them current, and maintain structure as things evolve.
How This Role Works
You'll work most closely with the CRO's Chief of Staff – she's your primary day-to-day partner and the person who holds the most context on priorities, stakeholder dynamics, and what's coming around the corner. The CRO prefers async communication by default and values people who can operate independently with minimal check-ins. He's transparent with his inner circle and expects discretion in return.
The broader collaborator set includes the Head of Sales, Head of Commercial Excellence, Head of Marketing, Growth Marketing, RevOps, and the Office of the CEO.
What We're Looking For
Experience: 3+ years supporting a senior executive, ideally at a fast-paced or venture-backed company. Experience supporting a sales or GTM leader is a strong plus. Healthcare or enterprise SaaS exposure is a bonus.
Fundamentals: You're reliable, detail-oriented, and fast. Calendar management, travel logistics, and communications are second nature. Nothing falls through.
Judgment: You don't just flag problems – you solve them. When the CRO has four conflicting meetings, you know enough about priorities to de-conflict on your own, and you know when you need to ask.
Proactivity: You go one step beyond the ask. If the CRO is headed to a four-day event tomorrow, you're already sending him a ping with hotel details, airport-to-hotel distance, and event links before he thinks to ask.
Context absorption: You pick things up quickly, retain preferences, and don't need to be told the same thing twice. You're the kind of person who builds a mental model of how your exec thinks and uses it.
Async comfort: You thrive in written communication, proactive pings, and minimal live syncs. You don't need daily face time to stay aligned.
Composure under pressure: Same-day calendar overhauls, after-hours travel emergencies, shifting priorities – you handle it without drama.
Comfort working through a proxy: Your day-to-day partner is the Chief of Staff, not the exec directly. You see that as a feature, not a limitation.
Tools: Familiarity with Notion, Slack, Google Workspace, and HubSpot is a plus. Comfort using AI tools (Claude, ChatGPT) for synthesis and formatting work is increasingly part of how we operate.
Why This Role
The CRO you'd support is someone who genuinely invests in the people around him. He rewards proactivity – if you bring him a sharp idea, he'll hand you the keys to run with it. He notices the person, not just the work. He protects his team's time and wellbeing without being asked.
This is a high-trust, high-visibility seat at a company that's changing how healthcare works. For the right person, it's an opportunity to build a real partnership with a leader who values agency, grow into broader operational ownership, and do it at a company where the mission actually matters.
Pay Transparency
The base compensation for this role is approximately $110,000–$190,000 per year, excluding equity or bonus targets. We intentionally offer a wide range to support flexibility around cash and equity. We believe strongly in equity ownership and want team members to share meaningfully in the impact they create.
If you’re outside this range, we still encourage you to apply — we take an individualized approach to compensation that considers the full picture.
Life at Ambience

Operate with real ownership and accountability in an environment where there are no bystanders: If something is broken, we fix it! You will have meaningful autonomy and be expected to drive work to completion.
To help you do your best work, we pair these expectations with benefits intentionally designed to help you feel supported and safe at Ambience and beyond. Some of our key benefits include
