Where and how you can work

Our flagship campus is in Sydney. We also have a campus in Melbourne and co-working spaces in Brisbane, Perth and Adelaide. This role requires you to work in our Sydney campus in Surry Hills, Monday to Friday.

About the role

Join our Workplace Experience team as a Guest Services superstar, right at the heart of it all at Canva’s HQ in Surry Hills. You'll be part of a dynamic duo, working alongside our Lead Guest Services superstar, to create a welcoming and vibrant environment that makes Canva a place where people love to work.

In this role, you're more than just the face at the front desk—you're the first point of contact for our team, visitors, and guests, setting the tone for a warm and memorable experience. This isn’t just a desk; it’s the central hub of information and support for the Vibe team. Together, you'll bring a sense of connection and belonging to everyone who walks through our doors.

But that's not all – you'll also be a key player at our global Vibe Help Desk, spreading the Canva warmth to our team across campuses and virtually. From managing guest check-ins with Envoy and handling mail and packages to ensuring the vibe stays high across multiple locations, no two days will be the same. While your focus won’t be on security, you'll make sure our main entrance feels both safe and welcoming.

Guest Services (Main focus)

  • Based at reception, you’ll welcome approximately 800 Canvanauts and a stream of guests through our bustling main entrance in Sydney
  • Masterfully manage our sign-in system (Envoy) for guests and contractors, ensuring a seamless entry experience.
  • Assist with navigation across our multiple buildings
  • Provide assistance to our staff and visitors as necessary
  • Incident response and first point of contact (to then pass on to relevant stakeholders)

Cafe Space

  • Elevate the Cafe Space by clearing deliveries, directing traffic to the right spots, and maintaining a clear, tidy, and inviting environment.
  • Showcase your barista skills by whipping up ad-hoc coffees for Canva's guests.

Mail and Deliveries

  • Organize the mailroom with precision, championing sustainable waste management practices.
  • Utilize Envoy/Slack integration to notify employees of their deliveries promptly.
  • Generate necessary documentation for the seamless handling of parcels, packages, and invoices.

Internal Comms & Content

  • Weekly and daily updates to Vibe Team Office TV dashboards.
  • Weekly updates to our working floor cork boards with fun and informative posters and content.
  • Categorising and cataloging Vibe Team and Celebration/Team bonding photos
  • Assist with content for our weekly internal newsletter to the Team called Canvazine.

Vibe Helpdesk

  • Respond to Vibe helpdesk queries like a pro through the Jira ticket management system, working closely with the global Guest Services rostered team (averaging ~20 tickets globally daily).
  • Provide thoughtful, friendly, and helpful answers to global vibe-related questions or expertly triage to the appropriate team member.
  • Extend a virtual hand of welcome to newbies and host engaging virtual onboarding lunches.

What we're looking for

  • Bring your A-game with previous experience in a bustling front desk or customer service role. A background in hospitality is like music to our ears!
  • Passionate for creating a warm and friendly atmosphere for everyone who comes through the front entrance.
  • Work in a fast-paced environment and handle multiple tasks with a smile.
  • Navigate through tasks with precision and follow through with the finesse. Your attention to detail ensures nothing slips through the cracks.
  • Prioritization isn't just a skill; it's your second nature. Easily discern what needs attention and prioritize tasks in the blink of an eye.
  • Brace yourself for an exciting learning journey! There's a lot to explore, and your enthusiasm for soaking up new knowledge will set you apart.
  • Dance with change and pivot with grace.
  • Savvy in technology. You’ll be using Slack, Gsuite, Kisi, Canva, Envoy, Jira and much more.
