What you’d be doing in this role

As a Content Administrator – Asset Management, you’ll oversee content maintenance, workflow efficiency, and metadata governance across multiple teams in Canva’s Creative Group. You’ll ensure all assets are well-organised, accurately tagged, and easily searchable across multiple systems and tools.
In this role, you balance hands-on asset management with senior ownership of workflows, standards, and strategic enablement. You act as a key operational partner to Producers, PMs, and Channel Leads, while mentoring Junior Content Administrators and continuously improving how content moves through Canva’s ecosystem.
At the moment, this role is focused on:
- Partner with the Production Team to ensure accurate metadata entry and effective asset tracking across multiple tools (Iconik, Cloudinary, LucidLink, Google Sheets).
- Identify workflow inefficiencies and improve how content is structured, accessed, and restored across platforms.
- Upload and traffic high-volumes of ads across Canva’s ad platforms (Meta, TikTok, Pinterest, Instagram) with accuracy, aligning with Channel Managers to meet tight turnaround timelines.
- Coordinate cross-team asset management needs when projects involve multiple creative teams.
- Manage collaboration with external vendors by overseeing file deliveries and ensuring all assets adhere to Canva’s metadata, naming, and organisational standards.
- Own and refine project archiving and content restoration processes, ensuring completed projects are properly stored and easily retrievable for future use.
- Partner with Martech, Engineering, and Post-Production teams to enhance automation and efficiency across metadata and asset management workflows.
- Oversee asset quality control, ensuring all content meets Canva’s technical, naming, metadata, and storage standards prior to launch.
- Serve as the first point of escalation for Junior Content Administrators, supporting resolution of workflow, metadata, or asset readiness issues.
- Oversee CMS-based landing page builds across global regions, ensuring governance, quality standards, and scalable workflows are maintained.
- Track and report on asset volumes, turnaround times, and workflow performance, using insights to support planning and continuous improvement.
- Build and maintain strong stakeholder relationships by leading regular check-ins with Producers, Program Managers, and Channel Leads to gather feedback and address risks early.
- Lead onboarding and enablement for new team members, ensuring consistency across systems, tools, and content workflows.
- Own paid media asset trafficking standards, ensuring accuracy, governance, and scalability across platforms and global regions.
- Act as the primary operational partner to Channel Managers for ad readiness, launch confirmation, and issue resolution.
- Identify and reduce ad trafficking risks (rejections, misaligned specs, late handoffs) through proactive QA and workflow improvements.
You're probably a match if
- You bring around 3–5 years of experience in content operations, digital asset management, ad operations, or creative production within a high-volume, deadline-driven environment.
- You are a strategic problem-solver who can identify workflow bottlenecks and improve them through smarter processes, automation, and AI-driven efficiencies.
- You have strong experience working across digital asset management systems and complex creative or content production workflows.
- You are highly detail-oriented and structured, with the ability to manage high-volume, time-sensitive workstreams without compromising accuracy.
- You are confident trafficking paid media assets across platforms like Meta, TikTok, Pinterest, and Instagram, ensuring governance, scalability, and on-time launches.
- You take ownership of quality control — validating metadata, naming conventions, file formats, technical specifications, and storage standards before assets go live.
- You communicate clearly and confidently, aligning Producers, Channel Managers, Martech, Engineering, and external partners to resolve risks early and keep delivery on track.
- You are comfortable making sound decisions under pressure and serving as a reliable escalation point for workflow or asset readiness issues.
- You are a supportive team leader who actively mentors junior team members and helps raise operational standards across the team.
