About the role (What you'll be doing)
The Production Coordinator is the operational backbone of the creative production team. They own the systems, workflows, and visibility that keep shoots and post-production moving smoothly, allowing Producers and Creative Strategists to focus on creative quality rather than administration.
The ideal candidate can manage multiple projects and individuals and be an expert at Notion or similar PM tools.
Core Responsibilities
Production Operations & Workflow
- Own and maintain the central production system on Notion
- Manage producers and post-production tickets from intake through wrap
- Ensure all requests follow the correct workflow and meet briefing standards
- Maintain real-time visibility of active shoots, post-production work, ownership, status, and dependencies
- Flag risks, clashes, or resourcing issues early
Scheduling, Capacity & Calendar Management
- Maintain the shared production calendar (shoots, prep, post)
- Track capacity across producers editors and studio resources
- Support prioritisation by surfacing trade-offs clearly
- Coordinate timelines across pods and teams
Documentation & Asset Management
- Own production documentation - briefs, shoot plans, approvals and usage rights
- Work with Studio lead to ensure all assets are correctly uploaded, tagged and stored in the central system
- Maintain clean, searchable asset libraries
- Ensure nothing lives exclusively in Slack or personal drives
Stakeholder & Process Support
- Enforce production processes and gates
- Ensure stakeholders know when to input, how to request work and who owns decisions
- Support Producers by handling logistics, not creative decisions
- Reduce stakeholder noise by directing requests through the system
Success Metrics
- Clear visibility of all active production work at any time
- Reduced admin load on Producers
- Fewer missed deadlines or last-minute escalations
- Improved asset reuse and retrieval
About you (Who you are)
- 5 years’ experience in production coordination, operations, or project management within a creative, content, marketing, or studio environment
- Strong understanding of end-to-end production workflows (shoot prep, filming, post-production, approvals, asset delivery)
- Advanced proficiency in Notion or similar PM tools, ideally with experience owning and maintaining systems
- Experience managing shared calendars, tracking team capacity, and coordinating multiple projects with competing priorities
- Highly organised and detail-oriented, confident enforcing process, flagging risks early, and maintaining clean documentation and asset systems
