The Opportunity
Ready to play a pivotal role in supporting one of Australia’s most successful eCommerce businesses? As the Executive Assistant to the Co-founder/CEO and Executive Team, you’ll ensure our leaders can focus on what they do best by managing their day-to-day priorities with precision and professionalism.
This is a part-time role (4 days/week stretched over 5 days) based in our head office in Sydney CBD. This role is perfect for someone who thrives working both independently and in a team, takes ownership of their responsibilities, and proactively identifies opportunities to make a meaningful impact. You anticipate needs and always think two steps ahead while thriving in a fast-paced environment where ambiguity and change are your best friends!
What you'll be doing
- Diary Management: Manage and schedule appointments, meetings, and reminders for the CEO and other executives
- Email Management: Filter, flag, and respond to emails on behalf of the CEO, ensuring smooth communication
- Meeting Preparation: Take briefs and transform them into actionable points, distributing them as necessary
- Travel Coordination: Organise travel itineraries for the CEO and other team members (domestic and international)
- Expense Management: Process expense claims, online payments, and invoices
- Confidentiality: Handle sensitive information with professional discretion
- Board Coordination: Schedule and manage logistics for Board meetings
- People Management: Manage, coach and guide our Office Manager to ensure that all of our Pet Circle locations are humming
- Edit and format reports, presentations, and charts using Google Suite
- Provide any additional administrative assistance to ensure the CEO and Executive Team operate efficiently
The ideal Toolbox
- Proven experience as an Executive Assistant, ideally supporting senior leadership
- Exceptional organizational skills with the ability to prioritize and multitask
- Strong attention to detail
- Strong communication skills, both written and verbal
- Proficiency in Google Suite (Docs, Sheets, Slides, and Gmail)
- Ability to maintain discretion and handle confidential information
- A proactive and adaptable mindset, thriving in a fast-paced environment
