We seek a highly motivated and experienced Executive Assistant to support the President in their daily operations. The ideal candidate will be an excellent communicator, detail-oriented, highly organized, and able to support the President in administrative capacities. This role requires a flexible and proactive individual who can work in a fast-paced environment, handle multiple tasks and prioritize effectively.

Executive Assistant Duties:

  • Manage and optimize the priorities the President sets for his calendar, including scheduling and coordinating meetings and appointments.
  • Coordinate travel arrangements, including booking flights, accommodations, and itineraries. Must have experience booking in large global metro areas to ensure convenient locations for accommodations and efficient and accurate travel times.
  • Respond to internal and external communications, such as email, on behalf of the President, as needed. Draft and proofread to ensure grammatical accuracy.
  • Prepare and edit correspondence, reports, and presentations using Google Suite.
  • Extract follow-up items from recorded meetings or attend meetings and record follow-up items to ensure accountability.
  • Ensure that the President knows and meets organizational deadlines like board presentations, performance reviews, and monthly flash reporting.
  • Liaise with various departments; work collaboratively with other EAs, Revenue Operations, Finance, and P&C to ensure clear communication and efficient plans.
  • Participate in annual sales kick-off planning and be available in person to travel to the required locations.
  • Maintain discretion and confidentiality in all business matters.

Requirements:

  • Bachelor's degree or equivalent experience
  • 5+ years of experience as an executive assistant or in a similar role, with experience supporting a President, CEO, CRO, CSO, or similar.
  • Strong organizational and time management skills, with the ability to prioritize effectively and meet tight deadlines in a fast-paced environment
  • Excellent project management skills.
  • Excellent written and verbal communication skills, including the ability to compose professional correspondence and presentations
  • Strong interpersonal and collaboration skills, with the ability to work effectively with a diverse group of stakeholders
  • Proficient in GSuite (Gmail, GCalendar, Docs, Sheets, Slides), Confluence, and at least one AI tool.
